From enquiry to quote in one chat
A website enquiry arrives on Monday. How it turns into a contact, an appointment, a quote and an invoice without any retyping, and where NEVYLO asks instead of guessing.
The most expensive moment in a business’s day isn’t the work itself but the handovers: from enquiry to callback (soon), from appointment to quote, from job to invoice. At every handover something gets retyped, forgotten, postponed. This guide walks through a typical case, a plumber and a bathroom renovation, and shows what happens at each handover.
Monday, 09:12: the enquiry
Through the website form: “Hi, we’d like to renovate our bathroom, about 8 m², walk-in shower, could we arrange a site visit? The Müller family, Graz.” NEVYLO creates the contact (duplicate check: none), recognises the category “Enquiry: bathroom renovation” and drafts a reply in the business’s tone with two appointment options from the calendar.
Sending is medium risk. The business has the rule “Replies to standard enquiries with appointment suggestions automatically”, so the reply goes out at 09:14. Without the rule, it would be waiting in the briefing for approval.
Tuesday: the appointment
Ms Müller confirms Thursday by email (soon). NEVYLO books the appointment, syncs it with the boss’s Google Calendar (soon), confirms to the customer and sets a reminder for Wednesday evening, for both sides. The contact record now holds: enquiry, reply, appointment, every email (soon).
Thursday, 17:40: the quote from the van
After the site visit, a voice note (soon): “Quote for Müller, bathroom renovation as discussed, walk-in shower, tiles as per sample, standard sanitary package, twelve thousand four hundred net, start October, three weeks.”
NEVYLO builds the quote from the business’s service catalogue: line items, units, VAT rate from the profile, payment terms from the templates, address from the contact. Where something is missing, it asks: “Tile package ‘sample’ isn’t in the catalogue. Shall I add it as a line item at €2,100, like in the last similar quote?” A “Yes” is enough.
€12,400 is above the €5,000 threshold. High risk, always approval. The approval card shows: What (quote QU-2026-0142 to the Müller family), Why (voice note (soon) from today, 17:40), Where (email), Data (contact, line items, total), Cost (none), Undo (the quote can be cancelled, the sent email can’t), Who (owner). One tap in the van. The quote is with the customer.
The week after: following up without the awkwardness
Rule in the business: “Follow up politely on quotes with no reply after 7 days. Show me the message.” The following Thursday, the briefing says: “Müller quote unanswered. Follow-up message prepared.” The boss reads it, changes one sentence, approves. Ms Müller replies the same day: it’s a go.
October: job, invoice, payment
“Müller has accepted, start 6 October.” NEVYLO converts the quote into a job, blocks three weeks in the calendar, creates the deposit invoice (rule: 30 % on acceptance) and sends it with a payment link (soon) after approval. After handover: “Final invoice Müller, as quoted, extra work socket 180 net.” Invoice, VAT, PDF, approval, sent.
NEVYLO records the payment automatically via the payment link (soon), or you say “Müller has paid”. If the money doesn’t arrive, the invoice shows up in the briefing after the due date, and the reminder waits for approval, because it goes out to the customer.
What didn’t happen here
Nobody retyped an address. Nobody copied a quote in Word from an old one. Nobody forgot to follow up. And nothing involving money went out without the boss. Six handovers, one chat, everything in the audit log, and the accountant gets clean data at month end. She still has to check it for tax purposes; NEVYLO isn’t tax advice.
